SUGGESTED WEBSITE GUIDELINES FOR AREA 91


Preamble:
The Ad hoc Committee for review by the Area Committee suggests the following guidelines. It is recommended that website guidelines be reviewed periodically to ensure the Area is communicating effectively with its members.
A website is a way of communicating to the world who we are and what we do. If we chose to have a website we must a) be all-inclusive, b) technically user friendly, and c) ensure confidentiality.
Although having a computer is not a prerequisite to serve in any position on the Area 91 Committee, the Web Servant should have a working knowledge of web design and an understanding of how a website is updated if one to direct those who will be doing the actual work.

Purpose:
The purpose of the Area 91 Website would be to assist Alcoholics Anonymous (A.A.) in Area 91 to carry the message to A.A. and to provide information about the A.A. fellowships to:
   the public,
   the media
   the A.A. fellowship
The Website should present information to enable the still-suffering alcoholic to make direct, face-to-face contact with Alcoholics Anonymous, and to provide information regarding the service structure in Area 91.

Policies:
- The website would be a Public Information vehicle of the Area 91 Assembly and would present only approved, publicly available information about A.A.
- The approval required for any information is commensurate with the delegated responsibility for the information (Concept X).
- In keeping with the 12 Traditions of A.A., the website would NOT:
1)  Publish any member's telephone number or email address that identifies the first and last name of the member.
2)  Publish an individual's full name or identifiable picture.
3)  Present any affiliation, endorsement, display or link to any non-A.A. entity.
- The Web site would be funded exclusively by the Area 91 Assembly and should not accept funds from any other source.
- The Web Servant should serve for a term of two years and may be re-elected for one additional term of two years. The Web Servant position should be a voted position and should be voted upon at the Fall Assembly.
- The Web Servant is responsible for the day-to-day maintenance of the website. As a trusted servant, the Web Servant is authorized to make minor changes to the Website, as deemed necessary, within the limitations of these guidelines. No wholesale changes would be made to the web page without consultation with the Area committee as a whole. In all cases the Area committee would have policy control.
- The Area Committee may, as needs arise, form ad-hoc committees to address specific website needs or concerns. The ad-hoc committees should be comprised of the Area 91 Chair or designed Table Officer, the Web Servant and others with an interest, a desire to serve and/or a particular skill set.
-If the web page is used to distribute Area Committee and Assembly reports; that section of the web page should be password protected to limit access to only the Table Officers, D.C.M.'s, and selected individuals as determined by the Area committee.
- The Area Committee should regularly canvass the general membership of the Area 91 Assembly to ascertain whether the Website is fulfilling its purpose.

Procedures:
Website Registration:
- We suggest the Website registered with the InterNIC as http://www.area91.org, in the name of the Area 91 Assembly.
- "Chairperson of the Area 91 Assembly" would be the named owner of the domain registration.
- The billing contact would be the Web Servant.
- The technical contact with the InterNIC would be the Website's Internet Service Provider.
- Technical access to the Website would be limited to the Chairperson, Web Servant and alternate Web Servant.
The Website should contain the following:
A home page displaying the name of the Website as well as clearly identified connections to the other sections of the Website.
A map of Saskatchewan identifying the location of Area 91 Districts.
A list of A.A. meeting information for groups within Area 91 as provided to the Area 91 Web Servant, except the contact number listed would be that of the nearest central office or inter-group instead of the individual.
A page for each of the Committees currently operating within Area 91, where the committee may post relevant information.
The Conference-approved "A.A. Fact Sheet".
The "Anonymity Letter to the Media" as supplied by G.S.O.
Listings of A.A. events within or connected to Area 91 as provided by the fellowship.
Links to the G.S.O and the Grapevine Websites.
These Guidelines for the Website Committee.
A counter indicating the number of accesses to the Website.
A list of submitted, public Area 91 Inter-group/Central Office phone numbers.
A "Search" function for site navigation.
A Site Map function to assist in understanding the site organization and navigation.
To facilitate the operation of the Website within the Traditions of A.A., the Web Servant would maintain e-mail aliases for Table Officers and Committee Chairs. Each e-mail alias would be set up to route communication to the member's own e-mail account.
District Committee Members (D.C.M.'s) may request the addition or removal of any or all group information for groups within their District from the Website at any time.
District Committee Members (D.C.M.'s and Table Officers of the Area 91 Assembly) may submit announcements of A.A. events within or connected to the Area 91 to be posted on the Website to the Web Servant in writing, using electronic or postal mail.

These guidelines may be revised upon approval of the voting membership of the Area 91 Assembly at a regularly scheduled business meeting.
